Action Items

Learn how Revo surfaces tasks from your emails, meetings, and messages, prepares a plan for each one, and lets you hand it to Claude, ChatGPT or Revo itself.

What are Action Items?

Action Items is a Revo feature that proactively identifies tasks you need to take based on your emails, recorded meetings, and chat messages (Slack, Microsoft Teams). Rather than waiting for you to ask, Revo monitors your activity and surfaces relevant tasks automatically.

For each action, Revo gathers all the context it has (who is involved, what needs to be done, why, and how) and prepares a plan in the shape of a card for you to review.

Every action item comes with a plan

When Revo detects an action item, it researches the task and writes a plan — a short, plain-English briefing covering the outcome you want, the steps to get there, and any constraints that matter. The plan is written once, up front, and the same plan is used no matter who ends up doing the work: Claude, ChatGPT, or Revo itself.

On the card you can:

  • Read the plan, shown as labelled, numbered steps

  • Edit it directly on the card — the edited version is what gets copied, sent or executed. Only the item's owner or a workspace admin can edit; everyone else sees it read-only.

  • Hand it off to your assistant of choice, or run it with Revo

  • Talk to Revo about it in the item's chat to adjust the output ("make this shorter", "change the tone", "add a section about pricing")

If Revo is missing something, it asks. When a plan depends on a fact Revo can't find, it posts the question in the item's chat with reply options, instead of handing you a plan with a hole in it. Answer, and it carries on.

You'll see angle-bracket tags like <outcome> or <step> if you open the plan for editing. These are structure that the assistant reads — leave them in place when you edit.

Handing work off

Every item's main button is Open in …. The destinations are:

  • Claude — opens Claude with the plan prefilled. A sub-picker lets you choose the web or desktop app.

  • ChatGPT — opens ChatGPT with the plan prefilled.

  • Revo — Revo does the work itself. The plan is posted into the item's own chat and Revo starts working on it there, where you can watch it and steer it.

  • I'll do it myself — parks the item as in progress with nothing running, for when you just want to keep track of it.

You'll see the same single primary button wherever you're standing — the board, the list, or the focused card — so an item doesn't look like three different things depending on the view.

Choosing your AI assistant

You don't have to set a preference up front. The first time you pick "Open in Claude" or "Open in ChatGPT", that becomes your assistant, and from then on it's the default on every card.

  • Picking a different one later is a one-off. Opening a single item in ChatGPT when Claude is your default doesn't change your default — it's treated as a decision about that task. Use the chevron next to the button to reach the other destinations any time.

  • To change your default, go to Settings → Actions → AI assistant.

  • Before you've picked anything, the button reads Copy prompt and all destinations sit in the chevron. Nothing is preselected for you.

Once an item has been handed off, a small note beside the button records where and when — "Opened in Claude 5m ago". Open the same item somewhere else and the note follows it.

What the statuses mean

Every action item shows where it stands: waiting on you, in progress, or done.

Handing work to an assistant does not mark it done. An item you've opened in Claude, ChatGPT or Revo sits in In progress and stays in your active list until you either mark it as done or move it back to To do. That means:

  • You can snooze a handed-off item — "not this week" is a normal decision about work in flight

  • If the same task is mentioned again in another email or meeting, Revo adds the new context to the existing item rather than creating a duplicate

  • Nothing quietly disappears into an assistant and gets counted as finished

Agent Activity and Control

When Revo is executing an action item, a live activity overlay shows exactly what it is doing — including nested sub-agent tool calls — so you always have full visibility into what is running.

You can stop Revo at any point using the Stop button. This works during a live chat turn as well as during a background run, and it interrupts in-flight tool execution and sub-agents immediately.

What Stop keeps: if you've already started working in the item's chat, stopping files the card back in To do and leaves everything else alone — your conversation, the plan Revo built from it, and any artifacts it produced are yours and stay put. Stopping an item you haven't touched yet resets it cleanly, so an accidental click is easy to undo.

More ways to work with Action Items

  • A dedicated list: Work through everything Revo has surfaced for you in one focused place at app.revo.ai/actions.

  • Inside your meetings: The action items from a meeting appear on the meeting itself, so the task and its context sit side by side.

  • Hand off to a teammate: Reassign any action item to someone else on your team in a couple of clicks.

  • Add your own instructions: Before Revo runs an item, tell it how you want it handled — Revo follows your instructions when it prepares and executes the work.

  • Automatic recovery: If a step fails partway through, Revo picks itself back up and offers a clear next step in the item's chat, with suggested fixes, instead of getting stuck.

Create and edit your own Action Items

You are not limited to the items Revo surfaces automatically. You can also:

  • Add an item manually: Use the New button on the Action Items page to create an action item yourself, capturing what needs doing and any instructions for how you want it handled. Revo won't research a plan for something you just wrote — use Prepare prompt on the card if you want one.

  • Ask Revo in chat: Tell Revo to create or update an action item conversationally, and it will add or amend it for you.

  • Create it snoozed: Set an item aside for later by creating it directly in a snoozed state.

  • Edit on the card: Update an item's title or description directly on the card at any time.

Organize Action Items on a board

The kanban board gives you an at-a-glance view of everything in flight, across To do, In progress and Done. Drag items between columns to move them through your workflow.

  • Each column scrolls on its own, so scrolling through a long To do list leaves In progress and Done where they are.

  • Valid drop targets light up while you're dragging. A column that won't accept the card stays plain, and if you drop it there anyway Revo explains why.

  • Live counts on each column header update as you work.

  • Dragging from To do to In progress asks what should happen — hand it to your assistant, run it with Revo, or just park it there.

  • Clear a column: every column has a Clear option. On To do and In progress it skips the items behind a confirmation; on Done it archives them.

Priority and due dates

Every action item can carry a priority and a due date. Use them to filter and sort your list so the most important and most time-sensitive work rises to the top.

When Revo finishes a task

When Revo completes an action item, it hands the work back to you with a clear, written summary of what it did, rather than quietly closing the item out. You are also notified when something Revo was working on is finished, so completed work never goes unnoticed.

Undo and restore

  • Undo a reassignment: After you hand an item to a teammate, a short Undo option lets you take it back in one click. Revo also warns you when an item you are reassigning references private sources.

  • Move a finished item back: Drag a Done item back into To do or In progress and Revo picks it up again, with your plan intact.

When do Action Items appear?

Action items can appear up to 1 hour after an email is received, a meeting is recorded, or messages are sent. This delay is intentional: Revo fetches all available context about the action before preparing the card, to ensure the best possible outcome.

What if some Action Items are missing?

If an action item does not appear, it is likely that one or more tools needed to run it are not connected to Revo. Revo will try to identify the missing tools and suggest them, but it may not always detect them automatically. The best way to ensure full coverage is to connect all the tools you want Revo to act on. See the Integrations article for guidance on how to do this.

Deep-Linking to an Action Item

Every action item has a shareable URL. You can use the following URL parameters to control what happens when the link is opened:

  • ?openChat: Opens directly to the action item's chat panel

  • ?autoSend: Opens the chat panel and fires a message automatically on arrival

This is useful for sharing a specific action item with a teammate or linking to it from another tool.

Availability and plan limits

Action Items are available natively in the Revo app on all plans except the Light plan. Usage limits apply based on LLM consumption per plan: the higher the plan, the higher the limit.
